OVERVIEW
The Executive Assistant will support our CPO in a fast-paced, innovative, ever-changing agency environment.  22squared is looking for a Type-A multi-tasker extraordinaire. The successful candidate will act as a representative for the CPO demonstrating superior judgment and confidentiality with both internal and external clients.  This position requires a forward-thinking, can-do attitude, with a proactive and solution-oriented outlook, from an individual always seeking ways to add value and think ahead of the executive’s needs.  The position requires a focus on delivering the highest-level customer service, a team player mentality with the ability to work collaboratively with others.  The EA must handle issues of a sensitive nature with tact and discretion.  

RESPONSIBILITIES:

  • Provide day-to-day executive level administrative support for the CPO. May also provide additional support to other key executives.
  • Manage & schedule appointments on a daily basis; timely communication and coordination of scheduling changes, as needed.
  • Maintain real-time, on-going communication of priorities and tight schedule for the CPO.
  • Accurately report time sheets, researching specific job numbers and making sure to input time accurately for billing.
  • Manage travel & expense reports for the CPO.  Provide proper approvals needed and back up documentation.  
  • Coordinate and confirm all travel arrangements for the CPO. Secure travel authorizations needed, note trips on calendars and provide thorough agendas before departure. Prioritize last minute travel changes to ensure company savings when possible.
  • Schedule and coordinate special events/client entertainment and meetings; hosted lunches, dinners. Handle ordering, reservations, directions, cleanup, etc.
  • Schedule meetings for the team members and executives as requested. Work with others to prioritize meeting times and make sure all attendees are informed of the purpose of the meeting.
  • Handle correspondence - mail, FedEx, subscriptions, email, etc. Screen correspondence when necessary to support the CPO.
  • Other duties as assigned.

 

QUALIFICATIONS AND EXPERIENCE: 

  • Associates degree or higher preferred.
  • 7+ years of experience, including experience supporting a senior vice president-level executive or above.
  • Extensive experience in meeting planning and calendar management.
  • Team player with the ability to form relationships across all levels of the organization.
  • Strong computer proficiency, Mac experience preferred (MS Office Suite; Word, Excel and PPT at near-expert level).
  • Level-headed and ability to think on your feet, be flexible and plan for changes.
  • Sense of urgency and follow through on deadlines, for your own work and helping the team meet deadlines.
  • Must be able to make educated and informed decisions; prioritize conflicting needs; handle matters expeditiously; follow through on projects to successful completion, often with deadline pressures and conflicting priorities; handle sensitive and confidential information with discretion and work with minimal supervision.
  • Excellent communication skills (oral and written), creativity, initiative, a positive attitude, and resourcefulness are essential in order to communicate effectively with all levels of the organization, as well as with outside clients, partners and key constituents.
  • Project management and event planning skills, a plus.
