Media Coordinator

RESPONSIBILITIES:

Day to day management of invoice reconciliation for media buys across all Digital and Social channels
Validation of Insertion Order, completed invoices from Billing Portal, and raw billing data
Collaborate with Accounting and Media Planning to solve for billing needs
Work directly with media partners to resolve invoice discrepancies
Manage monthly buys within the agency accounting system
Manage and schedule meetings, appointments and travel 
Prepare expense reports; facilitate getting proper signatures and back up documentation for approval
Reconcile American Express statements to expenses monthly
Coordinate travel arrangements through travel agency, finding the best balance between flexibility and cost; make changes as needed
Front Desk Reception Coverage (as needed)

QUALIFICATIONS:

Excellent written and oral communication skills
Strong account reconciliation, problem solving, and root cause analysis skills
Experience in high transaction billing environment.
Bachelor degree preferred but not required
Proficiency in Microsoft Excel, Word and PowerPoint
Experience with 3rd Party Ad server (DFA, Sizemek, etc.) a plus
Effective time management and organizational skills, as well as strong attention to detail
The ability to work well with a team; and also work independently
Optimal professional presence in person and on the phone
Customer service oriented - very flexible, expect changes
Ability to work with limited supervision
Ability to work overtime as needed
Organized, self-starter, good initiative, resourceful
