FRONT DESK/FACILITIES ASSISTANT

Department: Office Services

Reports to: Facilities Director

 

Position SUMMARY

The Front Desk/Facilities Assistant is responsible for representing 22squared culture while greeting and directing visitors, answering incoming calls and directing them appropriately in addition to providing general office and facilities support. Time is split between the Front Desk and Office Services/Facilities team.

 

FRONT DESK DUTIES and Responsibilities

  • Shares daily Front Desk Coverage with Office Services Assistant.
  • Provides Front Desk coverage when Office Services Assistant is out or unavailable and provides relief coverage as needed.
    • Prepares office in the morning (e.g., opens doors, makes coffee, distributes newspapers, straightens lobby, ensures front desk video is running and music is on).
    • Operates switchboard (answers calls, directs caller appropriately or takes and relays messages, provides callers with corporate information, e.g., company address and directions, fax numbers, website, etc.).
    • Authorizes visitor access to our suite by Security.
    • Greets, logs in/out and directs visitors.
    • Securely maintains, logs, distributes and reconciles parking vouchers and e-validations.
    • Securely maintains supply and audits guest badges.
    • Maintains safe and clean reception area.
    • As needed, end of day procedure (e.g., closes doors, turns off TVs, lights, etc.).

 

FACILITIES DUTIES AND RESPONSIBILITIES

  • Updates and posts phone lists and seating charts.
  • Monitors and manages (i.e., resolves or routes, checks status, closes) OS Helpdesk tickets.
  • Submits building work orders.
  • Assists with meeting setups and cleanups.
  • Assists with conference room reservations.
  • Assists with supplies/inventory.
  • Assists with mail room services (e.g., sorting/delivery, shipping, etc.).
  • Assists with stocking general office, copier, break room supplies.
  • Assists with maintenance of break room equipment/appliances.
  • Random furniture moves, furniture assembly, repairs & maintenance.
  • Other duties as assigned.

 

Required Experience, Education, Demonstrated Skills, and Abilities

  • Educational Requirements:
    • High School Diploma.
    • Bachelor’s Degree preferred.
  • Experience Required (Job and industry):
    • One year of administrative or customer service experience.
    • Receptionist/Front Desk and Facilities experience preferred.
  • Computer and Other Skills:
    • Proficient in MS Office.
    • Technical capacity to learn and become proficient in a variety of software applications used to support the role (e.g., Google Mail/Calendar/Drive, Suite Access Control, etc.).

 

Physical Requirements

  • No travel is expected for this position.
  • Requires the ability to bend or stand as necessary, to lift items weighing up to 50 pounds safely, assemble furniture and assist with furniture moves.
